ENTRY ORGANIZATION OVERVIEW:
In a binder include the following items:
- Entry Form (found online)
- 100-word typed summary (2 copies)
- 3-to 4-page typed description including sections on planning, implementation, evaluation/reflection. Please do not exceed 4 pages. (2 copies)
- Appendices with supporting print documentation for each section
- Appendices with supporting non-print documentation may be submitted on DVD, CD, VHS, audiocassette or CD.
- For websites, provide link to active URL
100-WORD TYPED SUMMARY:
In a 100-word typed summary, describe your lodge’s initiative to improve Masonic Awareness. This will be used to describe your entry if it receives the Mark Twain Masonic Awareness Award.
Summary should be typed, preferably using Courier 12pt type and 1-inch margins. The 100-word typed summary should include the following specific information:
- Name and address of your lodge
- Phone and email of lodge
- Date of the activity
- Brief overview of lodge objectives suggested in MIC’s report It’s About Time
- Brief description of lodge activities
3-to 4-PAGE TYPED DESCRIPTION:
In the 3-to 4-page typed description, explain the following stages of your lodge’s work: Planning, Implementation, and Evaluation/Reflection.
Activity description should be typed, preferably using Courier 12pt type and 1-inch margins. Please do not exceed 4 pages.
Use the following questions to help you prepare a strong entry:
I. Planning:
- What was the planning process?
- What were the goals?
- What was your estimated budget?
- How many brothers would the project involve?
- Who are the intended beneficiaries?
II. Execution/implementation:
- How did your initiative generate Masonic energy and ideas?
- What was the activity schedule?
- How were communications managed?
- How were brethren involved and how often?
- Outside the lodge, how many people were involved?
III. Evaluation/Reflections:
- Who were the beneficiaries?
- What did your lodge accomplish?
- What did your lodge learn?
- What would your lodge do again?
- What would your lodge do differently?
- How did the activity change/affect Masonic identity?
- How did participation in the program affect lodge members?
- How did the activity serve the community through Masonry?
ENTRY CHECKLIST
Produce completed entry binder that includes the following:
- Official entry form (available online)
- 100-word typed summary – 2 copies
- 3-to 4-page typed description including 1.) planning, 2.) implementation, and 3.) evaluation/reflection – 2 copies
- Appendices of supporting documentation
Supporting documentation may include:
- Print materials
- Video (VHS, DVD, CD)
- Audio (Cassette, CD)
- Multi-media CD-Rom
- Web page listings (Confirm that URL’s are active)
Other important things to remember when submitting your entry:
- Because of anticipated volume, your binder and any supporting material CANNOT be returned to you.
- Please do not send originals.
- Respect copyright laws.
- Please submit only typed documents. Handwritten documents could prove to be illegible.
- Clearly print name and address of lodge on each separate item.
- Send entry binder via trackable service (FedEx, UPS, Priority Mail, or other).
SUPPORTING DOCUMENTATION:
In each section containing supporting media, clearly indicate where it documentation can be found.
- For example, if a lodge has images of the implementation process (the actual activity) then mention, “Please see appendix A for coordinating photos to this activity.”
Please attach samples of outreach tools and resulting media coverage. Because of anticipated volume, your submission and any supporting documentation CANNOT be returned. Please do not send originals or masters.
Documentation may include, but is not limited to the following:
Outreach Tools: live events, press releases, fact sheets, public service announcements, Internet information, media alerts, brochures, posters, bulletins and more.
Resulting Materials: photos, press clippings, list of news stories, sample audience responses, letters of support, videotapes of broadcasts and more.
ENTRY SUBMISSION INSTRUCTIONS:
Completed entries must be received at the MIC Office no later than December 1, 2008. Because of the necessary review process, no extensions can be granted.
Make sure your completed entry binder includes:
- Entry form
- 100-word typed summary (2 copies)
- 3-to 4-page typed description (2 copies)
- Appendixes
- Supporting documentation
